A visa application is a case, not a form

The online form takes an afternoon. The evidence behind it is the whole job, and it is where the difference between a grant and a refusal is decided.

What a strong file does

  • Answers the question before it is asked. A case officer with a doubt either finds the answer in the file or refuses on it
  • Tells one consistent story. Your statement, your funds, your course choice and your history all say the same thing
  • Explains the awkward parts. A gap, a refusal or an unusual funding source is addressed openly rather than hidden and then found
  • Is complete at lodgement. Everything provable is proved on day one, not sent later when a request for information arrives

What sinks one

  • A statement written from a template, which reads exactly like the thousand other templated statements assessed that month
  • Money that appears in an account three weeks before lodgement with no explanation of where it came from
  • A course that does not follow from anything the applicant has studied or done, with no reason given for the change
  • A previous refusal left unmentioned, when the department already has it on file

None of these are exotic. They are the ordinary ways a genuine applicant with a genuine plan gets refused.

The Genuine Student answers

GS, WHICH REPLACED GTE IN 2024

Since 23 March 2024 the Genuine Student requirement has replaced the old Genuine Temporary Entrant test. It asks a set of questions in the application form itself, each answered in English within a 150 word limit, covering your current circumstances, why this course and this provider, and how finishing it benefits you.

The important change: GS accepts openly that a genuine student may later want permanent residence. Under the old test that ambition was a liability. Under this one it is not, provided the study itself makes sense.

We draft these answers with you, in your own words, from your own history. A borrowed statement is the single most detectable weakness in a student file.

Financial capacity

THE AMOUNT, AND THE STORY BEHIND IT

You show 12 months of living costs alongside your course fees and travel. The current living cost figures are AUD 29,710 for the student, AUD 10,394 for a partner and AUD 4,449 for each dependent child.

Reaching the number is the easy half. The harder half is showing the money is genuinely available to you and that its source is legitimate and documented. Income, property, business records and loan approvals all have to hold together.

Funds that land suddenly, from an undocumented source, are read as arranged for the application. This is the most common financial refusal, and it happens to families who genuinely have the money.

English and academic evidence

THRESHOLDS, AND WHAT SITS ABOVE THEM

The English score your provider requires, the score the visa requires, and the score your future professional registration requires are three different numbers, and the third is the one people discover too late.

These rarely cause refusals. They cause weeks of delay, which for an applicant chasing an intake date amounts to the same thing.

Processing times are published by the department and move constantly, so we will not print a number here that is wrong by next month. What we will tell you is the realistic lodgement date for your intake, working backwards from it, at the first session.

How we run a visa file, and where people lose an intake

Six stages. The failure mode under each one is the reason that stage exists as its own step rather than being folded into the one before it.

  1. Eligibility and honesty check

    Before anything is paid for, we read your profile against the requirements as they stand today, including anything in your history that a case officer will see.

    Where it goes wrong: starting the process without disclosing a previous refusal or a visa cancellation. It will surface. Far better it surfaces here, where it can be addressed, than in the decision.
  2. Documents, gathered in the right order

    A written checklist specific to you, not a generic list. Financial evidence starts first because it is the slowest to assemble and the most often rebuilt.

    Where it goes wrong: leaving funds evidence until the offer arrives. Money that has not been visible for long enough cannot be made older, and no other document fixes that.
  3. Your statement, drafted with you

    The Genuine Student answers, written from your actual reasons, your actual research and your actual circumstances, within the word limits the form imposes.

    Where it goes wrong: a template. Assessors read these all day and recognise a borrowed structure immediately, which turns a genuine applicant into a doubtful one.
  4. Internal review before lodgement

    A second person reads the whole file as a case officer would, hunting for the contradiction between two documents that nobody noticed while assembling them.

    Where it goes wrong: the person who built the file is the worst person to check it. Dates that disagree by a year are invisible to the author and obvious to a reader.
  5. Lodgement, then the waiting stage

    We lodge, track and hold the correspondence. If a request for further information arrives, we answer it inside the deadline with the evidence already prepared for it.

    Where it goes wrong: missing a request because it went to an email nobody checks. These carry hard deadlines, and a missed one is decided without you.
  6. Grant, departure and the other side

    Conditions explained in plain language, pre departure briefing, and then the Australia team from arrival onwards.

    Worth knowing: most visa conditions people breach are breached in the first six months, without any intention to, usually around work hours, course changes and provider transfers.

If you have already been refused

Bring the letter. Not a summary of it, and not what an agent told you it said. The refusal reason is the only thing that determines whether a second application is worth lodging, and reapplying without addressing it is the most reliable way to collect a second refusal at full price.

  • Read the actual ground. A refusal on financial capacity and a refusal on genuine intention need opposite responses, and both are often described loosely as "documents"
  • Decide between reapplying and reviewing. Some decisions carry review rights with strict deadlines. Missing that window because you were preparing a fresh application is a permanent cost
  • Fix the cause, not the symptom. Adding more of the same evidence to a file refused for lack of credibility usually confirms the concern rather than answering it
  • Declare it. Every later application asks about your history, and the department already holds it. An undeclared refusal turns a fixable problem into a credibility problem
  • Accept when the answer is wait. Sometimes the honest advice is a year of work, study or savings history first, and a stronger application after it

The visa is the middle of the process, not the end of it

Plenty of agents are attentive up to the grant letter and unreachable afterwards. That is the wrong shape, because most of the situations that put a visa at risk happen after arrival rather than before it.

The practical difference: when your provider proposes a course change in your second semester, you are asking someone who already knows your visa conditions rather than guessing.

Common questions

Can you guarantee my visa will be granted?
No, and neither can anybody else. The decision belongs to the department, and any consultancy that promises an outcome is either misunderstanding their role or selling you something. What we can do is make sure the file answers every question the criteria ask, that nothing in it contradicts anything else, and that the weak parts of your profile are addressed rather than left for a case officer to discover. If we do not believe an application should be lodged, we will say so before you pay a charge that is not refunded.
How much money do I need to show for an Australian student visa?
The living cost figures are currently AUD 29,710 for the student, AUD 10,394 for a partner and AUD 4,449 for each dependent child, and those sit on top of your first year of tuition and your travel costs. The amount is only half of the requirement though. You also have to show the money is genuinely available to you and that its source is documented, which is where most financial refusals actually happen. Funds appearing suddenly from an unexplained source are treated as arranged for the application, even when the family genuinely has the money.
What is the Genuine Student requirement, and how is it different from GTE?
The Genuine Student requirement replaced the Genuine Temporary Entrant test for applications lodged on or after 23 March 2024. It is answered inside the application form as a set of questions, each in English and within a 150 word limit, covering your current circumstances, why you chose this course and this provider, and how completing it benefits you. The meaningful change is that it accepts openly that a genuine student may later develop skills Australia needs and choose to apply for permanent residence. Under the old test that ambition worked against you. Under this one it does not, as long as the study itself makes sense for you.
How long does a student visa take to process?
It varies by applicant, by provider and by the time of year, and the department publishes the current ranges rather than committing to a fixed time. Printing a number on this page would mean printing a number that is wrong within a month. What matters more for planning is the direction of travel: work backwards from your intake date, allow for a health examination appointment and a possible request for further information, and lodge with room to spare. We give you a realistic lodgement date for your specific intake at the first session.
I was refused before. Should I apply again?
Sometimes yes, and sometimes the honest answer is not yet. It depends entirely on the ground the refusal was made on, which is why we ask for the actual letter rather than a description of it. A refusal on financial capacity and a refusal on genuine intention call for opposite responses. Some decisions also carry review rights with strict deadlines, and preparing a fresh application can quietly consume that window.
